Welcome to Ember Throne Verse, where we've combined medieval fantasy with modern hospitality since... well, relatively recently! We're located at 1847 Throne Lane, Vancouver, BC V6B 2K9, Canada, and yeah, we take your privacy as seriously as a knight takes their oath.

Look, we get it - nobody actually reads these things. But we've tried to make this one pretty straightforward. We collect some data (gotta run a hotel, y'know), but we're not gonna do anything sketchy with it. This policy explains what we collect, why we need it, and how we keep it locked up tighter than a dragon's treasure hoard.

Payment Info: Credit card details and payment information are handled through secure, encrypted channels. We don't actually store your full card numbers on our systems - that's handled by certified payment processors who are way better at this stuff than we'd be.

Stay Preferences: If you've told us you prefer a room with a view of the mountains or that you're allergic to certain fabrics, we'll keep that noted so your next stay is even better. It's stuff like room type preferences, dietary restrictions for our Medieval Banquet Hall, or if you want extra pillows.

Website Usage Data: Like pretty much every website on the planet, we collect some technical stuff - your IP address, browser type, pages you visit, how long you hang around. It helps us figure out if our site's working properly and what content people actually care about.

Communications: If you email us, call us, or chat with our team, we might keep records of those conversations. It's helpful when you follow up later and don't wanna explain everything again from scratch.

We're not collecting data just for fun. Here's what we actually do with it:

  • Process Your Bookings: Obviously, we need your info to reserve your suite, charge your card, and send you confirmation details. This includes our Themed Luxury Suites, Royal Chambers, event hosting, and anything else you've booked.
  • Improve Your Experience: Remember those preferences we mentioned? We use 'em to personalize your stay. If you always book our Dragon's Lair suite, we'll make sure you know when it's available.
  • Communicate With You: Booking confirmations, check-in reminders, special offers on our Spa & Wellness Sanctuary or Adventure Tours - that sort of thing. We won't spam you, promise.
  • Run Our Business: Analyzing trends, improving our services, training our staff, maintaining our systems. Pretty standard business stuff that keeps the lights on and the Medieval Banquet Hall stocked.
  • Legal Compliance: Sometimes we're required by law to keep certain records or provide information to authorities. It's rare, but it happens.

Yeah, we use cookies. Not the delicious kind from our kitchen, but the digital ones that make websites work better.

Essential Cookies: These keep the site functioning - remembering what's in your booking cart, keeping you logged in, basic stuff. You can't really turn these off if you want the site to work.

We don't keep your data forever. Here's generally how long we hold onto stuff:

Booking Information: We'll keep records of your stays for up to 7 years for tax and accounting purposes. Canadian law kinda requires this.

Marketing Data: If you're subscribed to our emails, we'll keep your contact info until you unsubscribe or we haven't heard from you in a really long time (like 3-5 years of zero engagement).

Website Analytics: This stuff gets aggregated and anonymized pretty quickly. We might keep general trends data indefinitely, but it won't be tied to you personally.

Guest Preferences: We'll maintain your preferences as long as you're an active guest or until you ask us to delete them. If you haven't stayed with us in 5+ years, we might clean house.

When we delete data, we actually delete it - not just hide it. It's gone from our active systems and backups (though backups might take a bit longer to cycle through).

Our services are designed for adults, and we don't knowingly collect personal information from children under 13 without parental consent. If you're booking a family stay and providing info about kids (like for our In-Room Gaming & Entertainment preferences), that's fine - you're the parent or guardian making the booking.

If we discover we've accidentally collected data from a child under 13 without proper consent, we'll delete it as soon as possible. If you think this has happened, please let us know right away.

We're based in Canada, but some of our service providers might be located elsewhere. If your data gets transferred internationally, we make sure there are proper safeguards in place - things like standard contractual clauses or other legal mechanisms approved by Canadian authorities.

Canadian privacy laws (PIPEDA, specifically) are pretty solid, but if you're coming from the EU, UK, or another region with specific data protection laws, we'll respect those requirements too.

Things change - technology evolves, laws get updated, we add new services. When we make changes to this privacy policy, we'll update the "Last Updated" date at the top of this page.

If we make any major changes that significantly affect how we handle your data, we'll let you know more directly - probably via email if we have your address, or with a notice on our website.
